Gentrik - Privacy Policy

1. General
1.1. This Privacy Policy (the “Policy”) explains how Globerint Pte. Ltd. (“Gentrik”, “we”, “us”) collects, processes and protects personal data when providing Gentrik - a corporate AI assistant used internally by a business account and its team - in accordance with the General Data Protection Regulation (GDPR) and applicable law.
1.2. The Policy applies to account owners (organizations), invited employees and other users of the service.
1.3. Using the service implies acceptance of this Policy.
2. Data controller and processor
- For data that an organization uploads to its knowledge base or enters in conversations with the assistant, the client organization is the data controller;
- Gentrik acts as a data processor, processing that data on the organization’s instructions solely to provide the service;
- For account and billing data (owner/employee identity, plan, payments), Globerint Pte. Ltd. is the controller.
3. Data we process
- Account and employee data: email, name, role, organization membership;
- Content of conversations with the AI assistant;
- Knowledge-base materials the organization connects or uploads (documents, website and feed links);
- Usage and billing data (plan, token consumption, payments);
- Technical data: IP address, device/browser information, logs.
3.1. Private knowledge-base materials (uploaded documents and manually entered content) are used only to answer users of the same organization and are never disclosed to other clients.
4. Purposes of processing
- Providing and operating the AI assistant and knowledge-base answers;
- Billing, support and account administration;
- Security, abuse prevention and dispute resolution;
- Service improvement (on aggregated / anonymized data).
4.1. We do not share personal data with third parties for marketing without explicit consent.
5. Legal basis (Art. 6 GDPR)
- Performance of a contract (providing the SaaS);
- Legal obligations (tax, accounting, regulatory compliance);
- Legitimate interests (service improvement, fraud prevention);
- Consent, where required (cookies, marketing communications).
6. Data retention
- 6.1. Personal data is retained only as long as necessary to provide the service and to meet legal obligations.
- 6.2. An organization may delete its knowledge-base materials and history; aggregated/anonymized data may be kept for analytics.
7. Data subject rights (Art. 15–22 GDPR)
You have the right to access, rectify, erase (“right to be forgotten”), restrict processing, port your data, object to processing, and withdraw consent. Requests: mail@globerint.com; we respond within 30 days as required by GDPR. You may also lodge a complaint with a competent supervisory authority.
8. International transfers
Data may be processed outside the EEA (cloud providers, AI infrastructure) only under appropriate safeguards - EU Standard Contractual Clauses or an adequacy decision.
9. Security
- Encryption in transit and at rest;
- Access control and audit logging;
- Isolation of data between organizations;
- Breach-notification procedures in line with applicable law.
10. Cookies
Used to operate the platform and for analytics. Manage them in your browser settings; blocking may limit functionality.
11. Changes
We may update this Policy. Changes take effect on publication at https://gentrik.com/. Continued use constitutes acceptance.
